VOLUNTEER THIRD PARTY EVENT APPROVAL AND GUIDELINES
Thanks for your interest in hosting an event to benefit Edith Sanford! We’re grateful for your support and can’t wait to hear what you’re planning. Before you get started, please review and sign the following guidelines.

B. All events and all products sold, if any, must be consistent with the Foundation’s mission to end breast cancer and compliment the Foundation’s outstanding public image. Products commonly known to increase the risk of breast cancer should not be used at an event.
C. If you state in your promotional materials that an event benefits the Foundation, the Foundation requires that at least 50% of the net proceeds generated from the event be directed to the Foundation. All donation checks should be made payable to the Edith Sanford Breast Cancer Foundation. The Foundation will provide a tax deductible receipt for donations.
D. The Foundation requests transparency with the public regarding the specific details of each fundraising event. Therefore, the following are the guidelines the Foundation requests you follow in the creation of all promotional materials for fundraisers that benefit the Foundation: (1) the promotion should be clearly described to include, without limitation, the Foundation’s name, mission, benefit to be received by the Foundation from the fundraising event and the fundraiser start and end dates; and (2) the public should be easily able to determine the donation amount to be made to the Foundation either through disclosure of a fixed dollar amount or percentage, i.e. if an item is sold to benefit the Foundation, the public and/or attendees must be told a specific dollar amount or percentage from the sale of the item that comes to the Foundation. Finally, the public and/or attendees should be informed of the total donation amount received by the Foundation at the completion of the event, if possible.
E. The Foundation will provide an event related Foundation logo to use in connection with the event. This logo remains the property of the Foundation, and permission for its use may be revoked at any time at the discretion of the Foundation.
F. In naming the event, the Foundation’s name should not be used in the title, but rather listed as the beneficiary of the event. For example, organizers should not name the event the “Edith Sanford Breast Cancer Foundation Spaghetti Dinner” but instead the “Spaghetti Dinner benefitting the Edith Sanford Breast Cancer Foundation”. Materials should not imply that the Foundation is responsible for hosting the event.
G. The Foundation is unable to furnish volunteers, media support, or additional mailing lists to support specific events.
H. Events must comply with all federal, state and local laws governing charitable fundraising, charitable sales promotions, charitable solicitations, gift reporting and special events. All necessary permits, registrations and clearances must be obtained, and the event organizer must obtain appropriate insurance coverage, if necessary.
I. Event proceeds must be submitted to the Foundation within 60 days of the event. The Foundation is authorized to review event records upon request.
THE INDIVIDUAL(S) AND/OR ORGANIZATION SPONSORING THE EVENT ASSUMES ALL RISKS AND LIABILITIES ASSOCIATED WITH THE EVENT AND HEREBY RELEASES AND HOLDS HARMLESS THE FOUNDATION, ITS DIRECTORS, OFFICERS, SUCCESSORS, AND ASSIGNS FROM AND AGAINST ALL CLAIMS, DAMAGES, LIABILITIES, COSTS AND EXPENSES, INCLUDING REASONABLE ATTORNEY’S FEES, ARISING OUT OF OR OCCURING IN CONJUNCTION WITH THE EVENT, INCLUDING WITHOUT LIMITATION, ANY PERSONAL INJURIES OR PROPERTY DAMAGE THAT MAY OCCUR IN CONJUNCTION WITH THE EVENT.
